Macarons for a Crowd: The Batch-Math Guide (50, 100, 200 Guests)

The event question we answer weekly: 'how many macarons do I need for [50/100/200] people?' The math is knowable, the mistake-modes are predictable, and the make-vs-order decision deserves honest treatment because 300 macs is a production run, not a bake. This is the complete event-macaron guide.
The Serving Math (Per Guest)
Event-established numbers:
- Macarons as the only dessert (mac tower as the wedding 'cake'): 2β3 per guest
- Macarons as part of a dessert table (3β4 options): 1.5β2 per guest
- Macarons as favors (boxed, take-home): 2β4 per guest (per favor box)
- Macarons at a cocktail hour (pre-cake): 1β1.5 per guest
The buffer: add 10% β always. Macs are the first item any dessert table runs out of (they're identifiable, portable, and hoarded by the savvy). The display-vs-replenish decision matters too: for large events, display 2/3 and replenish from back-stock β a constantly-full small display beats a massive picked-over one by hour two.
The Quantity Tables
For 50 guests:
- Dessert-table role: 100 macs (+10% = 110)
- As the main dessert: 150 macarons
- As favors (2/box): 100 macs + 50 boxes
For 100 guests:
- Dessert-table role: 200 macs (+ = 220)
- Main dessert: 300 macs
- Favors: 200 + 100 boxes
For 200 guests:
- Dessert-table: 300β400 macs
- Main dessert / tower: 500β600 macs (the mac-tower option specifically: a tower displays ~250β350 visible; supply 1.5β2x the tower's visible count)
Cake-pairing discount: if a full cake exists, cut mac counts by 20% (the cake carries its share).
The Homemade Reality Check (The Honest Math)
The home-baking time-and-failure math for events:
- Time: a home oven + home mixer realistically produces 60β100 finished macs per full baking day (shell batches, resting, filling β it's an all-day operation for 3β4 batches)
- Failure buffer: batch-failures happen even to experienced bakers (the troubleshooting archive exists for a reason); plan 15β20% extra shells over target
- The 200-mac event: 2β3 full baking days + assembly day, properly scheduled in the week before (shells freeze, so the schedule flexes β bake the weekend prior, freeze, assemble/mature 2 days before)
- Cost: ingredients ~$0.40β0.60 per mac homemade vs $1.75β2.50 ordered
Honest take: under 150 macs, a committed home baker can own the event. 150β300: it's a part-time job for a week; doable and impressive but know what you're signing for. 300+: order production β this is a bakery's actual job and the quality difference at that scale is just logistics (consistent 300-batch uniformity doesn't exist outside production kitchens). Ordering for the Event (The Bakery-Logistics Guide)
If ordering (the right answer at scale), the process:
- Lead time: 2β3 weeks minimum for event-size custom orders (color matching, flavor selection, large quantities); major-holiday weeks need more
- Color matching: bring/share the event palette β the color-theory post explains why saturation-matched macs photograph as 'designed'
- Flavor selection at scale: 4β5 flavors maximum for event boxes/display β more flavors = slower guest decision-making at the table and production complexity; a tight menu reads as curated
- Delivery timing: macs delivered 1β2 days before the event, refrigerated, served at room temp (preservation guide); day-of delivery exists but the buffer is the planner's friend
- Display: ask about display-rental (towers, stands) β many bakeries rent the hardware

The Mac Tower Option (The Wedding-Cake Alternative)
The tower deserves its own note because it solves the 'couple doesn't want cake' problem elegantly: a cone tower of 200β300 macs serves as ceremony visual + full dessert. The realities: towers serve from the bottom-up (design the color gradient bottom-dark to top-light so service reads clean as it descends); the tower needs assembly on-site (we do this β transport pre-stacked = disaster risk); assign someone to the tower's service or it becomes a free-for-all; and do a small cutting-cake alongside for the photo-tradition (the 6-inch top-tier-cake + mac tower is the standard hybrid, and it's what most of our tower-wedding clients do). Budget: towers run similar to mid-size wedding cakes at the per-mac price β it's not the budget option, it's the style option.
Event-Day Execution
The service-side checklist:
- Macs out 30β60 min before service (room-temp arrival)
- Shade/cool at outdoor events (heat guide)
- Signage per flavor (the tiny label cards are hospitality infrastructure β guests with allergies need them; this is non-negotiable at events)
- Replenishment plan assigned to a named person
- The take-home boxes (event favor boxes): stage them near the table with a 'please take' sign in the final hour β otherwise they sit unclaimed while macs vanish into purses unboxed
- Photography: the table shot happens in the first 10 minutes of the event, before service β flag the photographer
